Cancellation, Substitution & Refund Policies

Hotel Cancellation Policy
Reservations must be canceled with the hotel 72 hours prior to arrival to avoid a 1-night room and tax penalty charge. If cancelling or making changes to your hotel reservation prior to November 1, please contact Kristen Lindemann. If cancelling on November 1 or after, please contact the hotel directly and request a written cancellation acknowledgement. If you require any changes to your arrival and/or departure dates on November 1 or after, please contact the hotel directly and request a revised hotel confirmation. Hotel confirmations will begin going out in mid-October. As part of a room block, all changes need to be made through PASS and not the hotel until November 1.

Summit & Pre-Conference Sessions - Substitution & Cancellation Policy (if registered for the Summit only or both the Summit & Pre-Conference Session(s)):
Cancellations must be submitted in writing by email to Shannon Cunningham. All cancellations received by PASS on or before September 30, 2012, are entitled to a refund, minus a $195 processing fee. No refunds will be given to registrants who cancel after September 30 or who fail to attend the Summit and/or Pre-Conference session(s). Substitutions for paid registrants may be made at any time. However, written notice is required, and for complete accuracy, must include all pertinent changes for the substituting attendee. Should a full refund for the registration fee be required to the original attendee's credit card, then all required credit card information for substituting attendee must be provided in order for the new transaction to be processed at the same time. No payment changes will be accepted at a later date. Note: Based on availability, paid registrants may change their Pre-Conference session selection up to Friday, November 2, 2012 (must be Pre-Conference session of equal $ value). No changes will be accepted after this date.

Important: If you are unable to attend the Summit due to medical reasons, a medical report from your doctor will be required before a credit to next year's Summit will be considered.

Pre-Conference Sessions ONLY - Substitution & Cancellation Policy (if registered for Pre-Conference Session(s) ONLY):
Cancellations must be submitted in writing by email to Shannon Cunningham. All cancellations received by PASS on or before September 30, 2012, are entitled to a refund, minus a $150 processing fee. No refunds will be given to registrants who cancel after September 30 or who fail to attend the Pre-Conference session. Substitutions for paid registrants may be made at any time. Based on availability, paid registrants may change their Pre-Conference session selection up to Friday, November 2, 2012 (must be Pre-Conference session of equal $ value). No changes will be accepted after this date.

Conference Session Recordings - USB Flash Drive or Download and/or Pre-Con Session Recordings - USB Flash Drive - Cancellation Policy:
Cancellations must be submitted in writing by email to Shannon Cunningham. All cancellations received by PASS on or before November 7, 2012, are entitled to a refund, minus a $25 processing fee. No refunds will be given to registrants who cancel their USB order after November 7, 2012.

Important: If you ordered a USB during registration, please ensure you have entered your correct and complete mailing address in your registration record (including or omitting company name, if applicable). 

Refund Policy
Should you be unable to attend the Summit and request cancellation, the refund amount due (see cancellation policy for details) will be refunded as follows: 

  • If registration fees were paid by credit card, the refund due will be applied directly to the credit card that was used in your registration. No refunds will issued to an alternative credit card at any time. Should you no longer have the credit card that was used in your registration, a check refund will be issued to the company indicated in your registration and mailed to your attention at the company address
  • If your registration fee was paid by check by your company, a check refund will be issued to the company indicated in your registration and mailed to your attention at the company address. PASS will require 30 days to issue a check refund.

Registration Disclaimer
If any circumstances or events beyond the control of PASS causes cancellation of all or any portion of the event, PASS agrees to refund any portion of the registration fee for which PASS is reimbursed by insurance or another third party and shall not be liable for any other refund or payment arising from the cancellation or for other liability or damages arising from the event.
